- Choose "Send a sign-up link": one link for the whole group, each person adds their own name and an optional wishlist, and you draw names when everyone's in
- After the draw
- Each person's own page shows who they're buying for; nobody sees anyone else's wishlist while sign-ups are open
- Organizer page
- Shows who has opened their link, so you only nudge the people who haven't

Create a sign-up link or draw names
A good Secret Santa invitation answers every question in one message: what it is, who's invited, the budget, the date, how to join and by when. Below are copy-and-paste templates for a work email, a group chat and a family message, plus a reminder and an opt-out line. Swap the details in brackets for your own.
The easiest way to collect names is a sign-up link: create one with the tool on this page, paste it into your invitation, and everyone adds their own name and wishlist. You draw names when everyone's in.
Organising a Kris Kringle in Australia, New Zealand or Ireland? The Kris Kringle generator lets you draw names and share private links without collecting emails.
What to include in a Secret Santa invitation
The table above lists the ten details people ask about. The four that matter most are the budget cap, the exchange date, how to join and the sign-up deadline. Put them near the top of your message, in that order, so people who only read the first lines still have everything they need.
Secret Santa invitation email template for work
Subject: Join our Secret Santa? (up to [$25], swap on [Friday, December 18])
Hi everyone,
We're doing a Secret Santa this year, and you're invited! Here's how it works:
- Budget: up to [$25]
- Exchange: [Friday, December 18], at [the team lunch]
- How to join: add your name and a short wishlist here: [sign-up link]
- Sign up by: [Friday, December 4]. Names are drawn on [Monday, December 7] and everyone gets a private link showing who they're buying for.
Working remotely? Add a shipping address on your private page (only your Secret Santa will see it) and ship by [December 11], or send an e-gift card.
It's completely optional. If you'd rather skip it, no need to reply.
Thanks, [your name]
Secret Santa invitation message for a group chat
Group chats need a shorter version. This one fits WhatsApp, Slack, Teams or a text:
🎁 Secret Santa time! Budget up to [$25], swap on [Dec 18]. Add your name and wishlist here by [Dec 4]: [sign-up link]. Names get drawn on [Dec 7] and you'll each get a private link. Totally optional!
Post it once and pin it. Then send each person their private link one by one after the draw, never all together in the group.
Family Secret Santa invitation wording
Hi family! This year let's do a Secret Santa instead of buying for everyone. Each of us buys one gift, up to [$50], for one person. Add your name and a few gift ideas here: [sign-up link]. Couples won't draw each other, and nobody gets the same person as last year. We'll swap on [Christmas Eve] at [Grandma's]. Kids can join too: parents, add them with their own names.
Family invitations work better with a sentence about why (fewer gifts, less stress) and a note about rules like keeping couples apart. The family Secret Santa guide covers mixed ages and households.
Reminder and "names are drawn" messages
Reminder before the deadline:
Quick reminder: Secret Santa sign-ups close on [Friday]. [N] people are in so far. Add your name here if you'd like to join: [sign-up link].
After the draw:
Names are drawn! Open your private link to see who you're buying for, the budget and their wishlist. Please add your own wishlist too, so your Secret Santa has ideas. Exchange on [Dec 18].
If you drew names here, the organizer page shows who has opened their link, so you only need to nudge the people who haven't.
How to let people opt out gracefully
Your invitation should make saying no easy. Say it's optional, ask people to sign up rather than to decline, and never chase the people who don't. At work, don't send the invitation from a manager's account if you can avoid it, and don't make joining part of a team goal. People skip gift exchanges for all kinds of reasons, and none of them need explaining.
Secret Santa Invitation FAQ
What should a Secret Santa invitation say?
What it is and who's invited, the budget cap, the exchange date and place, how to join, the sign-up deadline, and a line saying it's optional.
How do I invite people to Secret Santa without collecting emails?
Create a sign-up link and paste it into your message or group chat. Everyone adds their own name and wishlist; nobody shares an email address.
How far in advance should I send a Secret Santa invitation?
Three weeks before the exchange leaves room for a few days of sign-ups, a draw date, and time to shop or ship. Two weeks is enough if nobody has to ship a gift.
What subject line should I use for a Secret Santa email?
Put the key facts in it, for example "Join our Secret Santa? (up to $25, swap on Friday, December 18)".
